Privacy Policy

Last updated: 20 October 2026

In short: we only collect the information we need to manage your booking and stay in touch about it. We never sell it, and you can ask us to see, correct or delete it at any time.

1. Who we are

Brides Hill House is run by Avalon Roundhouse Collective CIC, a community interest company registered in England and Wales (company number 16336118), Brides Hill House, Beckery Old Road, Glastonbury, BA6 9QT.

We are the “controller” of the personal information described in this policy. This means we decide how and why it is used, and we are responsible for looking after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).

If you have any questions about this policy or your information, please email brideshillhouse@gmail.com.

2. The information we collect

When you make a booking

  • Your name, email address and phone number.
  • The name of your organisation, if you book on behalf of one.
  • Details of your booking: the date and time, what the session is for, how many people are attending, and the name of your appointed person for fire safety.
  • Payment information. Card details are processed and stored securely by Stripe, the payment provider used by our booking system. We never see or have access to your full card details. We keep a record of what you have paid and any invoices we send.

When you contact us

If you email us, we keep your email address, your message and our reply so we can help you.

When you visit our website

Our website does not use analytics, advertising or tracking cookies, and it does not ask you for any personal information. Like all websites, our hosting provider’s servers automatically record basic technical information, such as your IP address, browser type and the pages you request. This is used only to keep the website running securely.

Our website uses fonts provided by Google Fonts. To show them, your browser connects to Google’s servers, which means Google receives your IP address. You can read how Google uses this information in Google’s privacy policy.

3. How we use your information, and why we are allowed to

UK data protection law says we must have a lawful reason (a “lawful basis”) for using your information. We use it:

  • To manage your booking, including confirming it, taking payment, sending invoices, giving you access to the space and contacting you about changes. This is necessary to carry out our contract with you.
  • To keep the space and the people in it safe, for example knowing who is responsible for a group in an emergency, and dealing with any accident, loss or damage. This is in our legitimate interests, and in some cases it is needed to meet our legal obligations.
  • To keep financial records, as the law requires.
  • To reply to your enquiries. This is in our legitimate interests in running the Roundhouse.

Updates about the space. If you have booked with us, we may occasionally email you updates about the Roundhouse and any important news. We don’t send a regular newsletter, only an email when there is information you need to know. This is in our legitimate interests, and you can ask us to stop at any time by emailing brideshillhouse@gmail.com.

4. Who we share it with

We never sell your information. We only share it with trusted organisations that help us run the Roundhouse, and only as much as they need:

  • Our booking system (Skedda), which manages your booking.
  • Stripe, which processes and securely stores your card details and payments.
  • Google (Gmail), which we use for our email.
  • Our website hosting provider, which stores our website.
  • Our accountant, for our financial records.

We may also share information if the law requires it, or to protect the safety of people or property, for example with the emergency services.

Some of these providers may store information outside the UK. Where they do, they are required to protect it to UK standards, for example through the UK’s adequacy regulations or approved contract terms.

5. How long we keep it

  • Booking and payment records: 6 years after the end of the financial year the booking took place in, because tax law requires us to keep financial records.
  • Emails and enquiries that didn’t lead to a booking: up to 2 years.
  • Accident or incident records: as long as we may need them for insurance or legal purposes.

After that, we securely delete it.

6. Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong or incomplete
  • ask us to delete your information, where we don’t need to keep it
  • object to, or ask us to limit, how we use your information
  • ask us to pass your information to another organisation
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email brideshillhouse@gmail.com. There is no charge, and we will reply within one month.

7. Keeping your information safe

We keep your information in password-protected accounts that only the people who run the Roundhouse can access, and we only use providers that take security seriously.

8. Complaints

If you’re unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
