Your booking slot must include your set-up and pack-down time.
By making a booking you agree to these terms. Please read them before you book, and share the house rules with anyone helping you run your session.
1. About us and these terms
Brides Hill House (“the Roundhouse”) is run by Avalon Roundhouse Collective CIC, a community interest company registered in England and Wales (company number 16336118). Our address is Brides Hill House, Beckery Old Road, Glastonbury, BA6 9QT.
In these terms, “we”, “us” and “our” mean Avalon Roundhouse Collective CIC. “You”, “your” and “the hirer” mean the person or organisation making the booking. “The space” means the Roundhouse and anything provided with it, including the kitchen, toilet, furniture, equipment and grounds.
These terms, together with your booking confirmation, form the agreement between you and us. If anything in your booking confirmation differs from these terms, the booking confirmation applies.

2. Making a booking
- Bookings are made through our online booking system. A booking is confirmed once you receive a confirmation from the booking system.
- You must be 18 or over to make a booking. The person who makes the booking is responsible for the booking and for everyone who attends.
- Your booking slot must include all of your set-up and pack-down time. Please arrive no earlier and leave no later than your booked times.
- First-time users will receive induction information from us before their first booking, and must confirm they have read it.
- Please tell us what your booking is for. If your booking isn’t suitable for the space, we will email you and, if possible, offer another option.
- We may decline or cancel any booking we reasonably believe is unsuitable for the space, unlawful, or likely to cause damage, nuisance or risk to people or the site.
- You must not sub-let the space or transfer your booking to anyone else without our written agreement.
3. Prices and payment
- Prices are shown on our website and in the booking system.
- To secure a booking you must provide valid credit or debit card details. Your card details are stored securely by Stripe, our payment provider. We never see your full card details. Your card will be charged shortly after the booking is locked in (see section 4).
- If you book inside the lock-in period, payment will be taken at the time of booking.
- If your card has insufficient funds, we will send you an invoice for the amount due.
- If you don’t want to provide card details, we can send you an invoice instead. Invoices are due immediately. Please email brideshillhouse@gmail.com and we will send you a no-card booking link.
4. The lock-in period
The lock-in period is 8 weeks (1,344 hours) before the start of your booking.
- Before the lock-in period, your booking is unpaid. You can edit or cancel it yourself in the booking system at no charge.
- Once your booking enters the lock-in period, it is locked in and payment is taken. This means payment is taken when you are locked in, not when you book.
- Once a booking is paid, it can only be edited or cancelled by contacting us, and the cancellation fees in section 5 apply.
5. Cancelling or changing a paid booking
There is a fee for cancelling paid bookings:
- More than 2 weeks before your booking date: the fee is 10% of the total booking amount.
- Within 2 weeks of your booking date: the fee is 50% of the total booking amount.
Any refund due after the fee is deducted will be paid back to the original payment method. To cancel or change a paid booking, please contact us. Changes to a paid booking are subject to availability.
6. If we have to cancel
We may need to cancel a booking if the space becomes unavailable for reasons we can’t reasonably avoid, for example damage to the building, severe weather, a utility failure, or a safety concern. If this happens, we will tell you as soon as we can and give you a full refund for the cancelled booking, or move your booking to another date if you prefer.
We are not responsible for other costs you have incurred, such as travel, accommodation, marketing or payments to third parties.
7. House rules
No cacao ceremonies
Cacao ceremonies are not permitted in the space.
Candles and incense
- Candles must always be on heat-proof surfaces and in containers, and never directly on the floor, on furniture or on windowsills.
- All candles must be blown out whenever you leave the space, even briefly.
Food and drink
The kitchen is for preparing hot drinks. It has a microwave and a coffee maker only, and is too small for preparing meals or eating in. You are welcome to eat in the main space.
Capacity
The maximum capacity is 30 people seated, 50 standing, or 12 lying down. You must not exceed these numbers, including facilitators and helpers.
Respecting the site
The Roundhouse sits at the gateway to Bride’s Mound, a protected heritage and wildlife site. Please keep noise considerate of neighbours, keep to the paths, take all rubbish away with you, and don’t attach anything to the walls, ceiling or beams without our permission.
Smoking and vaping
Smoking and vaping are not allowed anywhere on the premises, including the garden.
Music
Music is allowed. Please keep the volume considerate of neighbours and the surrounding site.
Alcohol and pets
Alcohol and pets are accepted on a case-by-case basis. Please tell us on the booking form if you would like to bring either, and only do so once we have agreed.
8. Leaving the space
These rules apply to all rooms:
- Please leave the space exactly as you found it, and promptly at the time agreed.
- Make sure all candles are extinguished.
- Close all windows and doors.
- Turn off all lights, and switch off all electrical sockets and equipment, including CD players.
- Check all 3 doors are locked.
If the space is left untidy, or your session overruns your booked time, we may charge you for the extra cleaning or time.
9. Fire safety and emergencies
- In the event of a fire, you (the workshop facilitator) or your appointed person (named on the booking form) are responsible for making sure all members of your group leave the building safely.
- Before your session starts, please make sure you know where the fire exits and fire equipment are, and tell your group.
- Keep all exits and escape routes clear at all times.
- In an emergency, call 999 first, then let us know as soon as possible at brideshillhouse@gmail.com.
10. Health, safety and safeguarding
- You are responsible for the safe running of your session, including carrying out any risk assessment your activity needs.
- If children, young people or vulnerable adults attend, you are responsible for their supervision and for having appropriate safeguarding arrangements in place.
- You will find the first aid kit in the kitchen.
- Please report any accident, injury, damage or near miss to us as soon as possible.
- We recommend that facilitators running classes, workshops or events hold their own public liability insurance.
11. Loss, damage and liability
- The hirer is responsible for any loss of or damage to the space, its contents or equipment that happens during their booking. We may charge you the reasonable cost of repair, replacement or extra cleaning.
- Personal belongings are left at your own risk. We are not responsible for any loss of or damage to property brought into the space by you or your group.
- We are not liable for any indirect or consequential loss, or for any loss of income or profit, arising from your booking.
- Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law.
12. Your personal information
We use the information you give us only to manage your booking and to contact you about it. We will not sell your information or share it except where needed to run your booking (for example with our booking and payment providers) or where the law requires. You can read more in our Privacy Policy.
13. Changes to these terms
We may update these terms from time to time. The version on our website when you make your booking will apply to that booking.
14. Law
These terms are governed by the law of England and Wales, and any dispute will be dealt with by the courts of England and Wales.
